Event Cancellation Process

In the event that a ride is cancelled due to unforeseen circumstances that is beyond the control of the event organizers, the following options are made available to exhibitors. An email notice will be sent to exhibitors 30 days prior to the event if a cancellation will take into affect. 

Move to rescheduled date: If the event is rescheduled for a later date in 2020, exhibitor simply moves with the event.

Transfer to a different 2020 event: If exhibitor cannot accommodate the new event date, exhibitor may transfer to one of the other 2020 Roll Massif sportives, to include VeloSwap. If applicable, vendors will receive a partial refund or pay the difference in the variance of price.

Defer to 2021 event: If exhibitor is unable to find a 2020 event to work within their calendar, the exhibitor may defer their application to next year’s event.

Refund: If an exhibitor is absolutely unavailable to reschedule, transfer or defer their application, a refund will be provided sans administrative / processing fees.

 

Expo Information

Insurance: All exhibitors need to provide proof of insurance prior to one week before the event. If you do not submit paperwork by the deadline you will not be able to exhibit.

Sprinter Vans: If you wish to have a sprinter van with your 10×10 tent, you must pay the 10×20 space price. Please also note that you will be using a 10×10 + a sprinter van in the notes section when filling out your expo registration form. If you plan to only use a sprinter van as your booth size, you may pay for a 10×10 space. You must note this in the comments section as well.

Tables, Chairs and Tents: Each booth spaces comes with 1 table (8-foot table) and 2 chairs. Please make a comment in the note section of your registration form if you are bringing you own tables and chairs so we can plan accordingly. We do ask that you bring a tent. If you need a tent, we are happy to have a tent delivered for you at the cost of $125 per 10×10 tent.

Weighted Tents: Just a friendly reminder that all tents must be weighted down properly. Please secure each leg with a 30-pound weight.

Lunches: If you would like to purchase a lunch ticket, please do so when filling out your registration form. Meals cost $15.
